  • Overview

    Supervise and oversee the work of gift processing employees to support the Institutional Advancement department in the collection of gifts from donors and contributors to the College.  Perform accounting activities that provide financial accountability for the department and follow College policy as well as state and federal laws.   


    1. Supervise gift processing employees including oversite of daily gift processing, time entry approval, and annual performance reviews.
    2. Oversee the production of daily gift processing including checks, life income (gift annuity/trust), wire transfers, gift-in-kind and gifts from spreadsheets (such as GiveCampus through the Alumni Department, Fidelity Investments, Events, Payroll, and Shooting Range Memberships) as well as processing of monthly, quarterly, and annual recurring gifts by credit card.
    3. Audit accounts and make adjustments to gifts to ensure compliance with state and federal regulations in conjunction with the Financial Affairs Department as appropriate.
    4. Prepare and distribute month-end reports to supervisors, department chairs, and staff as needed.
    5. Responsible for daily balancing and month end closing of accounts as needed.
    6. Oversee correspondence to constituents and donors regarding updated contact information, pledge reminders, contributions, and account management.
    7. Prepare giving and/or pledge reports as requested by College Accountant for distribution to the Treasurer.
    8. May be responsible for processing gifts.
    9. Adjust general ledger post and create reports on a daily basis for the College general ledger account.
    10. Assist with matching gift company verifications as needed.


    To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.


    Education and Experience

    Bachelor’s degree in Accounting or Business Administration required.  Five to seven years of related accounting experience and three to five years of supervisory/managerial experience required or a combination of education, training or experience which fulfills the needs of the College.

    1. Ability to build and maintain customer relationships through a professional approach in handling customer service needs, and project a positive image. 2. Excellent written and verbal communication skills. 3. Skill to operate a computer using a variety of software. 4. Skill in managing employees using tact and diplomacy at all times. 5. Proficient in accounting practices and procedures. 6. Proficient in Microsoft Office Suite software.    


    Physical Requirements

    Ability to read, write, hear, speak, see and communicate effectively. Ability to operate basic office equipment to include, photocopier, fax machine, adding machine, computer equipment, display monitors and the like. Position is largely sedentary. Occasional lifting of office supplies, booklets, etc. is necessary.

    Institutional Advancement frequently interacts with donors, faculty and staff.  A clean, neat appearance and a pleasant relationship that is supportive of the College mission are essential.  This relationship needs to be pleasant, supportive, and professional, while maintaining confidentiality.
